What does it take to organize a party...

What sorta funds are we talking about....what sorta organization....

An insight into this would really help people appreciate the effort that organizers put into their efforts....

To all the organizers....I really appreciate what you guys do....

1. space - usually a club since other places are very easily shutdown by police and the risk of using an illegal venue in nyc at least outweighs the rewards. some clubs require a bar guarentee... some dont (like club exit in brooklyn).

2. bookings - anywhere from free to $2000+. new or local artists will come sometimes for free, for them its a chance to be heard. dj sets are cheaper then lives. typical dj set for an established artist is $500-$800. lives can be a bit more up to $1000+. big time acts like infected and such are way above around $3000+.

3. date - you should make sure to try to coordinate your date with other events. in nyc at least - the scene isnt big enough for 2 promoters to have a suffienct crowd on the same date for more then 1 event.

4. promotion - flyers can cost range from $0-$800 - if u use webflyers only - i suppose its free... 6"x9" flyers cost from $150-$300 for 5000+ amount. larger more atttractive flyers can cost more. lamination options, folds, oversized... ive paid more then $800 for flyers.

5. flights + accomodation - you are expected to fly the artist(s) and host them at your expense. flights are usually cheaper in the winter and more expensive in the summer. you can cut costs by hosting the artist(s) at your place or friends if they and you agree.

6. equipment: depends if youre doing a live pa or not. if not, all you need is 2 cd-j's (usually) and a dj-mixer. if its a live then you can use friends who have equip. or rent out equipment. renting for a full live can get up to $300+
in addition you may need to rent out additional sound reinenforcements this can be expensive if there is no sound support at all - for good sound you need to spend at least $1200+

7. decoration - this is a psy party - so that is key. this can also range from $0-$500+ for full venue coverage done correctly.

8. patience and politics - that is one of the most important things. you will need to talk to many people, be nice when you shouldnt have to be, expect the worst and look forward to the best.

i will elaborate on any of these topics if you need. i think thats the basics.

a party can run you around $4000+ (for 2 intl' artists perfomoring live+dj) if you do your math wisely. so at $30 a ticket.. you can start making money after the 134th fully paid entree.

I think he means parties everywhere, but Indian ones especially.
Nowadays many artists are playing regularly in India so what u said is very informative.

That was awesome.....must have taken quite a bit of time and effort to put that together..thanks a lot for that.

I knew what the scene was like back home in India....Im from Bombay so all the out doors getting busted and shit....it was a bad scene for a while....

I am studying in Boston rite now and do regularly make it to NYC....but have not really been able to make it for any of the parties...

maybe the next time you guys put up a scene...id definately like to come and meet ya guys..

glad I live in Iowa where we can do parties on the cheap Or, it may just be that I am cheap, one of the two hehe.

(actually I just like to keep it cheap so more people can enjoy it, usually budget is around 2000 here but that is for "rave" type parties with great sound, minimal lights, some decorations, 1/4 flyers, 1 headliner, regional support djs, $10 entry usually)

Not paying or expecting someone to play for free should be considered ONLY for New DJs who are not known or otherwise not active djs who gig alot. I think its fair to pay someone who is better know localy

-anywhere from $200 to $500.

Every promoter has his or hers own rules for that though. I once new a guy in LA who refused to pay local djs at all. Known or not.           http://soundcloud.com/djkiva

I do believe in the FREE until parties have a steady budget to survive on their own.

Good rule of thumb i use for bay area events (N Ca events)
1 international live act = 150-200 people depending on name value
50 persons more for each additional act


budget is best kept with in $4000 for indoor parties.
(outdoors its get much more involved as you may need to supply power, bathrooms etc etc)
If your new at it, stick to indoor parties, or small no expense underground parties


and as for local djs, I never get paid when i play in CA (im lucky if i get gas money) but when traveling its easy to ask for about 300.

Nice effort, surrender - that's a ready-made checklist for anyone planning to do a party. The prices are very accurate.

About paying DJs, it all depends on the finances - if there was money left over, i don't see any reason not to pay local DJs, whether known or not.
Unfortunately we've not had that kind of a problem yet in Texas , we haven't even broken even on any of our events, but it's been amazing how everyone has come together to pitch in somehow and make the losses bearable enough to do another event in due time.

i'd just like to add something to the list that is a little more abstract...
Intention!! It is very important to have a clear intention on what you want to create, and to maintain that intention throughout the party planning and the event itself. The energy you put into a party always manifests itself within the event.
