I'm looking for a comprehensive guide or testimonies for throwing a good party. I'm mostly interested in logistics and all the related costs (sound, decoration, talent) and how one pays for all of it, how many people are needed, the really dull details but important for anyone to throw a successful party. As for bringing in acts, are hotels used? is it possible to have 4-5 artists sleep in one room ?

I know these details must vary from country to country but I imagine there is some common rules to follow.

Any help is much appreciated.

Depends on the artists, and the wallet of the organizer.

If you have an artist, who is getting bookings basicly every weekend, I think the most humane thing to do is to get them a hotel room.
Sleeping on someones couch, every weekend, thats just too much to ask of a person like that.

On the other hand, if you have an artist with not so many bookings, I think they can appreciate it all as a special experience. Therefore a hotel should not be a must.

In the end, it is up to the artist to state his/her needs, the organizer can then decide whether those needs can be met. Artists are usually very cool people, and I think you will enjoy working with them alot.

As for sticking 5 people in the same room, it also depends, for how long ? Do they get decent beds ? How big is the room ? Who are they ? Put yourself in their shoes, treat them like you would want to be treated yourself, and communicate / negotiate..
People are very different also, for some its ok, for others not. Some will prefer not to stay in a hotel even.

For the rest, I suggest to start contacting venues, pa companys, security people and so forth to get an idea of the pricing they have.

This also goes for getting flyers made... if you are to organize something, do it in good time and do it into detail...
Make sure you have a good team build up to execute the party, and that they know their jobs.

Make sure you have ALL the money for the party - Dont organize something if you dont have the money, dont gamble with an idea of how many will come, its unprofessional, and you might end up not being able to pay your artists and other partners.
Also, when you have all the money ready, then, after the party, you will be very rich and ready to organize another event and keep going (improving it).

Make sure you, and your crew, are organizing the party out of the right intentions. Think about whether those intentions are honerable. Another challenge is to ensure everybody is having fun, if your not having fun, chances are your guests arent either.

If there is competition with other organizers in the idea, keep that in mind, dont expect them to be nice and cool to you - Chances are they will see you as a threat, DONT SINK TO THEIR LEVEL IF THEY WANT TO FIGHT!

Get your setting ready, get your good venue booked - Get all of those things straight - Then, once you have that, think about booking the artists and to create the party.

Get your contracts in writing, especially with the venue ! I cant stress this enough, make sure they have their permits in order AND GET IT IN WRITING!

Dont be affraid to charge a high entrence fee, that should NOT be a worry. Your worry should be that the quality of the event, and your ability to keep organizing them, is all in very good condition.

Book music you like and love, dont think about how many people it will attract first off. Promotion value is secondary to sound quality (never compromise).

Make sure you have a ROCK SOLID budget planned out - Put all the numbers together, and make calculations on how many people you will need to go...

Remember, dont go easy on the promotion - Promotion is very important, else people wont know of your party.
A good flyer, with good info and graphics + lots of them + VERY good distribution is worth the cost.

Last, but not least, check how your local tax system works, so you dont get into trouble. Depending on your scene, other organizers who might feel threatened by your presence might try to remove you from the start, DONT BE NAIVE, its not about peace, love and harmony to all out there. Trust me.

Good Luck with the organizing, enjoy it
